A No-Show Is Not a Cancellation
Cancellation is notice. They tapped Cancel, or they rang, and you wrote it down before the chair was due. A no-show is silence after the hour. Same empty room. Different fact.

10:00 is empty.
Someone on the desk marks Cancelled. The report looks tidy. The hour still happened to nobody. You have used the wrong word.
A no-show is not a cancellation.
Cancellation is notice. They tapped Cancel, or they rang, and you wrote it down before the chair was due. A no-show is silence after the hour. Same empty room. Different fact. Clinics that mix them will staff the wrong fight, stop the wrong mail, and quote a “cancellation rate” that is mostly people who never told you a thing.
This is not cancelled is not a refilled chair. That page is what happens after a real Cancel — the hour is free, nobody sits down by magic. This page is whether the empty chair was a Cancel at all. It is not confirmed is not a patient in the chair. That page is the tap that promised. A confirmed row can still no-show. The no-show did not turn into a Cancel. It is not a bounced reminder is not a cancelled visit. Bounce is a dead address. No-show is a live address and an empty seat. It is not a booked visit is not a confirmed visit. That page is the receipt. This page is the end of the hour.
It is not “how to reduce no-shows.” That fight already has a home. This page is only the two words.
Orvexify is a booking page plus email reminders. Email on every plan. 24 hours, 2 hours, 30 minutes. Confirm and Cancel in the 24-hour and 2-hour mail while the visit is pending. After Confirm, one 30-minute note with no buttons. After Cancel, remaining mail stops. After Confirm or Cancel, the status does not change again. No patient app. No SMS. WhatsApp on Growth and Pro is coming soon. We are not an EMR. We do not publish a 70% figure. There is no waitlist ping. Reschedule from the mail is not live.
Cancellation means they told you
Cancel is an act.
They used the Cancel tap in the reminder, or they called, and staff wrote Cancel on the row while there was still an hour. The board is allowed to say Cancelled. Remaining reminders stop. Once they confirm or cancel, stop sending the same reminder. That is the point of the word: you know, in time, that 10:00 is not theirs.
A voicemail at 9:52 is late notice. It is still notice. A Cancel tap at 8:10 the night before is notice. Both are cancellations. The empty chair at 10:01 with no tap and no call is not.
If you mark Cancel because the room is empty, you have invented notice that never arrived. Your cancellation count goes up. Your no-show count looks pretty. The chair does not care.
A no-show means the hour ended without them
No-show is the end of the slot.
They were booked. Maybe they Confirmed. Maybe they stayed Pending. The mail went out. Opened is not Confirm. Confirm is not arrival. Then 10:00 passed. Nobody sat down. Nobody Cancelled.
The honest row is still Pending or still Confirmed. The honest diary note is no-show. The honest word is not Cancelled.
You do not need a fourth dashboard status to tell the truth. You need to stop relabeling. Pending who never came is a no-show. Confirmed who never came is a no-show. Cancelled who told you is a cancellation. Three facts. One empty room does not make them one word.
Why the desk mixes them
It feels kind.
“They probably meant to cancel.” “Don’t count it against them.” “The report looks better if we say cancelled.” Kindness that rewrites the board is how you lose Thursday.
A cancellation, even a late one, is a chance to look at the hour while it still exists. Cancelled is not a refilled chair — looking is the job, filling is not automatic. A no-show gives you nothing to look at except a room that already happened.
If last month’s “cancellations” were mostly no-shows you relabeled, you will buy the wrong fix. You will write a stricter cancel policy for people who never cancelled. You will not fix the mail, the email on the record, or the Confirm tap they never used.
Keep two piles.
- Cancelled: they told you. Reminders already stopped. The hour was free while it was still an hour.
- No-show: they did not tell you. The hour died occupied. The row is still Pending or Confirmed. Do not tap Cancel for them after the fact.
The mail already treated them differently
The sequence does not think “no-show.” It thinks Confirm and Cancel.
Pending gets Confirm and Cancel at 24 hours and 2 hours. If they never tap, the 30-minute note does not go out — that note is for people who already Confirmed. Then the hour arrives. Empty. That is a pending no-show. The mail did not fail at vocabulary. They did not answer.
Confirmed already spent Cancel. Remaining mail is the 30-minute note with no buttons. Then the hour arrives. Empty. That is a confirmed no-show. The Confirm tap was a promise, not a body. Flipping the row to Cancelled now is a lie about a promise they broke by silence, not by a tap.
Cancelled already stopped the rest of the mail. If 10:00 is empty, that is the cancellation you already knew. Do not also call it a no-show. You were told.
Do not send a “you missed us” newsletter. A visit reminder is not a campaign. A reminder email is not a newsletter. If you want a note after a no-show, that is a different letter, on purpose, not a fourth reminder with a Cancel button on a visit that already ended.
Do not Cancel them because the chair is empty
Staff want the board to match the room.
The room is empty. Cancelled means empty. So they Cancel.
Then two things break.
- The count. You will report cancellations you never received. You will under-report no-shows. You will argue with a clinician about “people keep cancelling” when people kept not coming.
- The rule. After Confirm or Cancel, status does not change again. If they never Cancelled, do not invent a Cancel at 10:07 so the colour on the row matches the furniture. Leave Pending. Leave Confirmed. Write no-show in the note if you need a note.
If they ring at 10:20 and say “sorry, we couldn’t come,” that is still not a Cancel of a future hour. The hour is gone. Log it as a no-show they explained later. Do not rewind the morning into a cancellation so the report is gentle.
A Thursday that kept the words
Twenty visits. Not a hospital.
Three tapped Cancel the day before. Those hours were free while they were still hours. You looked. One you filled by phone. Two sat empty — cancelled, not no-shows, and not magically refilled.
Two bounced. Wrong addresses. Not Cancel. Not no-shows either until you know they had a chance to read anything. Fix the email.
Eight Confirmed. Six of those sat down. Two Confirmed rows were empty at 10:00 and 11:30. No-shows. Still Confirmed on the board. Not Cancelled.
Seven stayed Pending. Four of those walked in anyway — arrival without a tap, which is allowed. Three never came and never Cancelled. No-shows. Still Pending.
Morning report: three cancellations, five no-shows, two bounces, ten people in chairs. Ugly. True. You did not staff a fairy tale called “everyone who missed us cancelled.”
What this page is not
Not how to reduce no-shows.
Not how to handle patient cancellations as a nine-step playbook.
Not a no-show rate formula.
Not a no-show cost calculator.
Not “Cancel filled the slot.”
Not “Confirm means they arrived.”
Not “a bounce is a Cancel.”
Not “booked means confirmed.”
Not a waitlist. There is no automatic ping to the next patient.
Not SMS.
Not a physio clone, a vet clone, or a hospital OS.
This page is two words. No-show is silence after the hour. Cancellation is notice. Keep them apart or every later number is cheap.
FAQ
Questions this post answers
- What is the difference between a no-show and a cancellation?
- A cancellation is notice before the chair is due — a Cancel tap or a call you wrote down. A no-show is an empty chair with no notice. Same room. Different fact.
- If they no-showed, should we mark the visit Cancelled?
- No. Leave Pending or Confirmed. Write no-show in the note if you need a note. Do not invent a Cancel after the hour died.
- If they Confirmed and then did not come, is that a cancellation?
- No. That is a confirmed no-show. Confirm was a promise. The promise is not attendance. It is still not a Cancel tap.
- If they Cancelled and the chair stayed empty, is that a no-show?
- No. You were told. The hour was a cancellation. Filling it is a separate job.
- Does a late voicemail count as a cancellation?
- It is late notice. It is still notice. Log Cancel if they reached you before the slot ended. After the slot ended, it is an explanation of a no-show, not a rewind.
- Is a bounce a no-show?
- No. The mail never arrived. Fix the address. Do not count a dead inbox as an empty chair until you know they had a chance.
